Use decision dates, not hopeful dates
A useful search calendar begins with decisions that must occur. These can include approval of the role, approval of compensation, final agreement on selection evidence, interview-panel availability, a decision meeting, a candidate update, and an intended start window.
Do not begin by filling every day with activity. Begin with the few dates that can stop or change the search. Give each one an owner. Record which date is fixed, which date is an estimate, and which dependency can move it.
Add candidate response windows
A team controls its own review time more directly than it controls candidate availability. Mark a service window for each stage: application review, first response, interview scheduling, post-interview update, and final decision. A missed service window should be visible before it becomes silence.
Do not treat the calendar as proof that a candidate was informed. The communication record must show what was sent, through which approved channel, and when.
Review the calendar as a system
At the end of a search, compare planned and actual dates. Mark delays by cause: approval, scheduling, evidence, decision, offer, or candidate choice. This gives the next search a better starting assumption. It does not create a promise that every search will have the same duration.
